Thank you for your interest in working with Dwain Thomas Photography. The following policies apply to all photography, video, and film services. A signed service agreement incorporating these terms is required before any session is confirmed.
Booking & Retainer
A non-refundable retainer is required to reserve your session date. The retainer compensates for removing the date from availability and is applied toward your total session fee. No date is confirmed until the retainer payment and signed service agreement are both received.
Retainer amounts vary by package and are listed in the current Investment Guide, which will be provided during your consultation.
Payment
The remaining balance is due no later than 3 business days before the session date. For event and corporate engagements, Net 15 terms apply unless otherwise agreed in writing.
Accepted payment methods include Zelle, PayPal, ACH, and credit cards. Late payments are subject to additional fees as outlined in the service agreement.
Cancellation Policy
All cancellation requests must be submitted in writing via email. The date of the written request determines the applicable fee. Verbal cancellations are not accepted.
Notice Period Fee: 30+ days before session, Retainer forfeited (no additional fee). 14–29 days before session50% of total booking fee. 7–13 days before session75% of total booking fee. Less than 7 days100% of the total booking fee. No-show / day-of100% of total booking fee (no reschedule)
Rescheduling
First reschedule: Permitted once at no charge with a minimum of 7 days’ notice. The new date must fall within 60 days of the original session.
Second reschedule: Treated as a cancellation. The applicable cancellation fee will be assessed, and a new retainer is required to rebook.
Less than 7 days’ notice: Any reschedule request with less than 7 days’ notice is treated as a cancellation.
Weather (outdoor sessions): The photographer reserves the right to reschedule due to severe weather. The call is made no later than 4 hours before the session time. Weather reschedules do not count against your complimentary reschedule.
Image Ownership & Usage
All images and videos produced by Dwain Thomas Photography remain the exclusive intellectual property of the photographer. Clients receive a limited-use license, not ownership, as defined in their service agreement.
No images may be used, published, posted, or distributed in any form until all invoices are paid in full.
Images may not be altered, cropped, filtered, or edited in a way that changes the original composition or artistic intent without prior written consent. Images may not be resold or transferred to third parties. Credit to Dwain Thomas Photography is required for editorial and public use.
Commercial licensing, editorial licensing, and exclusive usage agreements are available and priced separately. Details are provided in the service agreement.

All images are delivered via a secure online gallery. Rush and priority delivery options are available for an additional fee.
Prints & Products
All prints, albums, and wall portraits are produced using archival-quality materials through professional print labs. Color accuracy and longevity are guaranteed for products produced through the photographer’s selected lab.
The photographer is not responsible for color variations or the quality of prints produced by third-party retail print services.
Service Agreement Required
All bookings require a signed service agreement prior to the session date. The agreement includes the complete terms governing your session, including payment schedules, usage licensing details, liability provisions, and additional protections for both parties.
